Being prepared and understanding what’s down the trail is important when riding. It is also important when it comes to understanding Grand Valley Youth Cycling’s policies. Below please find summaries of some of our most important policies as well as the Rider Handbook and Rules and Guidelines documents.

Safety Guidelines

  1. Coaching and Supervision: Our programs are coached by qualified coaches who prioritize the safety of all participants. Coaches, including substitutes and volunteers, are required to meet the minimum certification requirements. 
  2. Equipment Safety: All participants are required to use appropriate cycling gear, including helmets, gloves, and any other protective equipment necessary for their chosen cycling discipline. Coaches will do their best to identify equipment hazards, but it is the responsibility of the parent to ensure their child’s bike and equipment are in proper working order. 
  3. Communication: Clear communication is essential for a safe cycling environment. Participants will be briefed on safety protocols, and coaches will maintain open lines of communication with both participants and parents.
  4. Emergency Procedures: In the event of an emergency, our coaches are trained to respond promptly and efficiently.  Emergency contact information for participants will be kept on file, and parents will be notified immediately if necessary.
  5. Rules and Guidelines: All participants and parents are expected to understand and follow the rules and guidelines laid out in the GVYC Handbook. 

Cancellation Policy

Although we strive to always conduct our programs, there are a myriad of factors that we don’t control. Likewise, we understand that life is complex and may require changes on your end. As such, we aim to provide a fair and straightforward cancellation policy so you know what to expect when registering for GVYC programs.

To cancel, submit a support request online.

  1. EARLY CANCELLATIONS: Early cancellations must be submitted at LEAST 2 WEEKS (14 days) prior to the start of the program. Early cancellations will receive a credit OR refund of 100% of the registration fee (not including online service/processing fees). 
  1. LATE CANCELLATIONS: Any cancellation request submitted LESS THAN 2 WEEKS (14 days) prior to the start of the program is considered a late cancellation. Late cancellations will receive a credit OR refund of 50% of the registration fee (not including online service/processing fees). 
  1. CANCELLATIONS AFTER THE START OF A PROGRAM: No refunds OR credits will be provided for no-shows or absences. Refunds will be considered on a case by case basis after the start of a GVYC program.
  1. REGISTRATION MISTAKES: Contact us with a cancellation request within 24 hours of posting your registration and we will fully credit OR refund your registration fee (not including online service/processing fees), even if you registered within 2 weeks of a program start. 
  1. TRIP SIGNUP CANCELLATIONS: Due to the nature of planning and organizing GVYC trips, no refunds OR credits can be provided for canceling a GVYC trip signup.
  1. INJURY/ILLNESS: The policies above apply even if the cancellation is due to an unexpected injury or illness.
  1. ALTERATIONS OR CANCELLATIONS BY GVYC: GVYC reserves the right to modify or cancel any program at any time for any reason. GVYC will strive to provide ONE (1) makeup practice for cancellations due to weather. Please see our Weather Policy to better understand how we make decisions about weather. GVYC will provide a refund of 100% of the registration fee (not including online service/processing fees) for any cancellation by GVYC made before the program start date, and CREDIT for the prorated remainder of the fee for cancellations made after the program start date. 
  2. REFUND/CREDIT INFORMATION: Refund and credit amounts are calculated based on the total amount owed on a payment installment plan, not the amount previously paid. Credits may be used for any family member registered on the same account. Credits are not transferable between accounts. We ask that credits be utilized within 12 months of the credit date. You may request that a credit be extended if you are unable to utilize a credit within that time. Refunds can only be issued to the original payment method or by check. Refunds cannot be provided after the start of a program, or more than 90 days after the original purchase date.

Weather Policy

We will make every attempt to run practices as scheduled, but sometimes weather or other factors get in the way. Our priority is the safety of riders, coaches, and staff. [Toggle to read more…]

We’ll do our best to send notifications 2 hours before the start of practice. However, if the weather looks questionable, it is advisable to check the calendar for cancellations before heading to practice.

Staff and Head Coaches are in close communication throughout the week and in advance of practice evaluating conditions. Because of safety issues due to weather, and/or possible trail or landscape impacts, we will cancel practice in the following instances:

  • Rain or thunderstorms that will impact safety or trail integrity prior to practice or high probability during practice.
  • Air Quality Index above 150.  If above 100, riders can opt out of practice.
  • Excessive heat over 100 at the start of practice. As a desert community, we are acclimated to heat, but balance that with safety.
  • If there is lightning within 3 miles, coaches will modify practice location and activity to reduce risk as possible and may cancel practice if lightning activity appears to be a problem that will impact the majority of practice. If practice is cancelled because of lightning during practice, parents/guardians may be required to retrieve their riders early.

Content Policy

As part of the normal operation of programs, coaches frequently take photos, video, and/or audio recordings of riders as coaching tools, as well as for marketing purposes. [Toggle to read more…]
